Mô tả công việc

1.GENERAL PURPOSE

Reservation Agent is responsible for responds to communications from guests, travel agents, and referral networks concerning reservations arriving by mail, telephone, telex, cable, fax, or through a central reservation system. Creates and maintains reservation records-usually by date of arrival and alphabetical listing prepares letters of confirmation and promptly processes any cancellations and modifications.

2. MAIN DUTIES

Processes reservations by mail, telephone, online channels ..
• Processes reservations from the sales office, other departments, and travel agents.
• Knows the type of rooms available as well as their location and layout.
• Knows the selling status, rates, and benefits of all packages plans.
• Responds to all guest reservation requests and executes prompt, courteous and accurate guest service at all times.
• Fully knowledgeable about hotel guest rooms, rates, promotions, amenities, programs, hotel facilities and services.
• Assists and prepare in groups pre-arrival process and also preparing group rooming lists.
• Follow all company policies and procedures, ensure uniform and personal appearance are clean and professional.
• Communicates reservation information to the front desk if needed.
• Processes cancellations and modifications and promptly relays this information to the front desk.
• Track all reservations picked up from all On-line channels like hotel website, OTA, GDS, other third party etc.
• If there are failed reservations to update the system, then process those reservations manually.
• Update No-shows and cancellations on all OTA's without fail to avoid and unwanted commissions.
• Understands the resort's policy on guaranteed reservations and no-shows.
• Helps develop room revenue and occupancy forecasts.
• Understand and enforce resort credit policies and ensure proper billing instructions, routing instructions and payment methods are
applied to the reservations.
• Verify if each reservation requests are processed as per the hotel standards and without delay.
• Process no-show and cancellations as per the hotel policy and procedures.
• Handles any request for amenities or transportation promptly and accurately. Details are shared with the concerned department or third
party accurately.
• Records and files all reservation correspondence neatly and accurately on prescribed forms or folders.
• Handles the reservation correspondence accurately and neatly and follow up for any missing correspondence before guest arrival.
• All reservation modifications are updated on system immediately and accurately in case of any changes.
• Follow the checklist and submit to reservations supervisor on daily basic.
• To be ready and responsible to perform any other duties as designed or required by RSVM/RES Supervisor/GM/RM

Yêu cầu công việc

1. Knowledge & Experience/Kiến thức và kinh nghiệm.

Tốt nghiệp Cử nhân các chuyên ngành về Kinh tế, Khách Sạn, Quản trị kinh doanh.
Graduated with a bachelor’s degree in Hospitality, Economics, Business Administration major.
Tối thiểu 1 năm kinh nghiệm ở vị trí tương đương.
Minimum 1 years of experience in similar position.
Kỹ năng nghe nói tiếng Anh thành thạo và kỹ năng đọc viết tiếng Anh tốt.
Oral proficiency in English language and excellent reading, writing skills.
Kiến thức về phần mềm quản lý khách sạn (Opera/ Protel/ Smile…), hệ thống Cadena là một lợi thế. Kỹ năng vi tính tốt
Knowledge of Hotel PMS (Opera/ Protel/ Smile…), CADENA system and good skills of Microsoft Office.

2. Competencies/Các năng lực cần thiết.

Kỹ năng giao tiếp và quan hệ khách hàng tốt.
Good communication and customer contact skills.
Kỹ năng tổ chức tốt, có khả năng quan sát chi tiết và sắp xếp công việc, đồng thời có thể làm nhiều nhiệm vụ.
Solid organisational skills - eye for detail coupled with a strong ability to proactively identify priorities and manage multiple tasks.
Kinh nghiệm bán hàng đã được chứng minh; kinh nghiệm làm điều phối viên bán hàng hoặc ở các vị trí hành chính khác sẽ được coi là một điểm cộng.
Proven experience in sales; experience as a sales coordinator or in other administrative
positions will be considered a plus.
Diện mạo và tác phong chuyên nghiệp mọi lúc mọi nơi.
Well-presented and professionally groomed at all times.
Có khả năng làm việc dưới áp lực cao
Work well in stressful & high-pressure situations.
Sẵn sàng đi công tác.
Willing to travel
