Provide administrative and coordination support to the General Director, including managing schedules, organizing meetings, preparing correspondence and reports, and facilitating communication across departments. The role requires strong organizational skills, professionalism, and the ability to thrive in a fast-paced hospitality environment.

Key Responsibilities:

• Co-ordinate and arrange activities accorded to the General Manager’s office
• Arrange appointments and meetings for the GM, recording same in diary and ensure the GM has the appropriate documentation for each appointment
• Attend meetings such as Department Heads Meeting, Executive Committee Meeting and others as directed by the GM
• Take minutes of attended meetings, accurately transcribe and circulate to appropriate personnel
• Perform hostess duties at staff, guest and other functions as required
• Assess priorities of work and assist in organizing GM’s priorities
• Prepare replies to routine correspondence for GM’s signature
• Take dictation of correspondence as required
• Open and sort mail addressed to the GM
• Maintain a filing and trace system
• Answer all incoming calls for the GM and either transfer, redirect or take a message
• Assists in maintaining general filing systems
• Handle general enquiries
• Arrange appointments and meetings and take bookings for meeting rooms
• Demonstrate essential overall knowledge of the organization
• Understand the responsibilities of other units and departments and co-operate with them
• Access and use work processing computer packages and keep up to date with enhancements to latest upgrades
• Maintains the utmost confidentiality and discretion when handling business affairs
• Cooperates, coordinates and communicates with Department Heads and other inter-departmental secretaries as appropriate

• Fluent in Korean (spoken and written); English proficiency is an advantage.
• Bachelor’s degree in Business Administration, Hospitality, Languages, or a related field.
• Minimum 2 years of experience in an executive secretary, personal assistant, or administrative support role.
• Strong organizational, communication, and multitasking skills.
• Proficient in Microsoft Office and office administration.
• Professional, detail-oriented, and able to maintain confidentiality.
