JOB IN SUMMARY

Manage end‑to‑end order execution for the Spices business, acting as the central coordinator between buyers, internal teams, and suppliers to ensure orders are delivered on time, in full, and to specification. The role focuses on order control, timeline management, documentation accuracy, and buyer communication, supporting both customer satisfaction and commercial performance.

KEY RESPONSIBILITIES

1. Order Management & Customer Coordination

• Act as the primary contact for assigned buyer accounts on all order‑related matters
• Receive and process POs; verify specifications (grade, quantity, packaging, labeling, delivery terms)
• Prepare and manage order documentation: contracts, proforma invoices, packing lists, C/O, quality and export certificates
• Track order and shipment status; proactively update buyers on timelines and changes
• Handle post‑shipment follow‑up, buyer feedback, and claims resolution

2. Sourcing & Supply Coordination

• Coordinate with sourcing, procurement, processing, and warehouse teams to align supply with confirmed orders
• Track raw material readiness and production progress against Time & Action (T&A) plans
• Identify and flag risks, delays, or supply gaps early and follow through to resolution
• Support supplier data updates (capacity, lead time, performance records)

3. Quality & Compliance Follow-Up

• Coordinate pre‑shipment inspections and quality checks per buyer requirements and ofi standards
• Ensure compliance with importing country regulations (food safety, organic, sustainability certifications where applicable)
• Work closely with Quality and Operations teams to address any deviations before shipment

4. Commercial Support & Reporting

• Support quotation and pricing preparation with the commercial team
• Maintain accurate order trackers, shipment logs, and buyer communication records
• Prepare regular reports on order pipeline, delivery performance, and open issues
• Support sales with sampling coordination and product specification documentation

• Bachelor’s degree or higher in Business, International Trade, Supply Chain, or related fields
• 2-5 years of experience in merchandising, order management, or export coordination
• Experience in agri-commodities, food export, or B2B supply chain is an advantage
• Good command of English — both written and spoken; ability to communicate professionally with international buyers
• Strong organizational and timeline management skills, able to handle multiple orders simultaneously
• High attention to detail, strong follow‑through, and ownership mindset
• Proficient in Excel and Word; ERP / order management systems are a plus
• Solid commercial awareness and understanding of how execution impacts buyer satisfaction
