Mô tả công việc
1. Handles administrative duties of the department in a timely and efficient manner (as directed by the Director of Engineering).
2. Handles engineering related inquiries and service requests and ensures that these are passed on to the appropriate individuals for appropriate action and follow up and provide feedback on timely and professional manner, assess productivity.
3. Administers the work control center function (including gate pass, permit to work) and ensures Director of Engineering is appraised of any urgent or pressing matters.
4. Liaises with other department administrators to ensure information is passed on a timely and accurate manner.
5. Administers engineering related work requests, both; e-engineering and e-connect platform, coordinate and assign work by priorities, track backlog and update accordingly.
6. Administers the preventative and predictive maintenance program and update the records accordingly.
7. Ensures VMP/VHP program records are up-to-date in both E-engineering and individual file records.
8. Maintain and update Facilities Services Center calendar for routine inspection (log sheets) and monthly checks (fire and safety, kitchen maintenance, exist door, etc) regularly and keep records for reference.
9. Maintains and updates computer records, information in shared drive, utility data and general information for workshop board as directed and/or required.
10. Measure individual performance of work against established goals and standards.
11. Coordinate department training needs with the certified department trainers to ensure that engineering department conducts quality trainings and related reports are then submitted to Learning Department on a timely manner.
12. Ensures that the work station, facilities service center and work control center is maintained in a clean and tidy fashion, and refreshed all the time.
13. Manage/control of keys, communication apparatuses (phones, walkie-talkie), office supplies and office equipment (computers, printers) as directed.
14. Assists in the maintenance of efficient administration preparing and submitting reports (monthly reports, etc.) on time as directed.
15. Administers the document register and filing system and update regularly.
