1. Supervise service vendors

• Supervise the performance of vendors (cleaning, pet control, security, landscape,..) to ensure services are carried out in a timely and professional manner
• Attend meetings with service vendors
• Track all vendor and supplier contracts

2. Budget Management

• Monitor OPEX to keep expenditures accurate, sufficient and within the budget set at the beginning of the year
• Coordinate with team members and internal teams to prepare the yearly OPEX budgets

3. Purchasing Management

• Execute the full purchasing cycle (procurement, tendering, contract signing and payment), ensuring compliance with company and project regulations while meeting day-to-day operational needs in cooperation with other purchasing staff

4. Payment requisition

• Carry out all payment related responsibilities for vendors and suppliers

5. Coordinating & Reporting

• Prepare all monthly/quarterly/yearly financial and management reports
• Support in preparing and presenting proposals to obtain management approval
• Support cross-property management and follow up on key issues

Candidates based in Hai Phong are preferred for this role. For candidates based in Hanoi, frequent travels to Hai Phong are expected.

• Bachelor’s degree in Facilities Management, Business Administration, or related fields
• 2+ years of experience in facilities management, property management, administration or related roles
• Strong organizational and administrative skills
• Strong command of English
• SAP experience is a plus
• Proficiency in Microsoft Office and data management software
